How to manage your store emails

Your store sends automatic emails (welcome, confirmation, shipping…). From Communications > Email templates, customize the subject, message and branded layout, insert variables and check the live preview. About 4 minutes.

Before you start

  • Your store is online (the email templates are already pre-filled).

Your store automatically sends transactional emails to your customers: welcome, order confirmation, shipping, password reset… These are highly-read messages. Here you customize their content and their branding in your own colors — without writing a line of code.

Step by step

Step 1 — Choose the email and edit it

In the left-hand menu, open Communications then Email templates. The events bar (marker ①) lists every automatic email: Sign-up, Lost password, New order, Order Confirmed, Order Shipped… In the form (marker ②), set the subject, choose the layout (the wrapper with header, logo and footer) and write the message. The live preview (marker ③) shows the final render, in your store's colors, and updates as you type. Click Save.

Why? Each event has its own email. The layout automatically applies your brand (logo, colors, footer) around your text — your emails stay consistent and professional.

Step 2 — Personalize with variables

Below the editor, the Variables panel (marker ①) groups the dynamic fields by theme: Customer (#firstname#, #lastname#, #customeremail#), Store, Security / Account, Order (#orderid#, #total#, #orderstatus#) and Shipping (#trackingnumber#, #deliverydate#). Click a variable (marker ②) to insert it into your message: it will be replaced automatically by the real value when the email is sent.

Why? Variables personalize every email: "Hello #firstname#" becomes "Hello Sofia". That's what makes your automatic messages… personal.

lightbulbTip. Only use variables relevant to the event: #trackingnumber# makes sense in the shipping email, not in the welcome email.

Every automatic email goes out with your subject, your personalized message and your brand wrapper. Your customers receive polished, consistent communications at every stage of their journey.

  • Craft the subject. It's the first thing seen; a clear subject boosts the open rate.
  • Stay concise. A transactional email gets to the point: the useful info, a link, a warm tone.
  • Test each language. Check the subject and message for every active language of your store.
  • Check the preview. Make sure all variables are replaced before saving.

Which emails can I customize?

All the store's automatic emails: sign-up, lost password, new order, confirmation, shipping, newsletter subscription, and more. Each has its own tab in the events bar.

What is the layout for?

The layout is the wrapper: it surrounds your text with a header (logo), your colors and a footer. The preview shows the render with your store's brand.

How do I insert a variable?

Click the variable you want in the Variables panel: it's inserted into the message. On sending, it's replaced by the real value (customer name, order number…).

Can I revert to the original template?

Yes. The Restore original button restores the current email's default template — handy in case of a mistake.

Are emails sent in the customer's language?

Yes, according to your store's language. Remember to customize the subject and message for each active language.
